WHAT YOU'LL DO:


Reporting to the local Operations Services Senior Manager, the Client Services Assistant will work effectively as part of the Client Services Team, to ensure various office and administration tasks are carried out and maintained efficiently and to a high standard.

Responsibilities include administrative support to the Operations Services Senior Manager, office logistics including meeting room requirements and events, maintaining office facilities, general office administrative needs, and reception support.


YOU'RE GOOD AT:


Administration

  • Liaise with Building Management and security on relevant issues
  • Log maintenance requests cleaning issues, back of house, and general office maintenance issues
  • Purchase and stock control of corporate stationery, business cards, letterhead etc.
  • Prompt response to Client Services distribution inbox
  • Provide assistance with bulk photocopying, binding, large mail outs, and ad hoc admin tasks as required
  • Ad hoc tasks and specific requests to ensure efficient running of the office

Reception Coverage Support

  • When required, cover the reception desk and client reception area
  • Ensuring the reception area is clean and tidy at all times

Meetings and Functions Support

  • Key point of contact in ensuring the Client Services team coordinates internal and client meetings efficiently
  • Prepare meeting rooms for staff and client events as per booking requests, including configuration of tables and chairs, AV equipment, ordering and set up of food and beverages, cutlery, crockery etc.
  • Tidy and reconfigure rooms at the conclusion of meetings
  • Assist with officerelated events and functions including set up, catering and other requirements as needed

Amenities Management

  • Distribute fruit, milk and newspapers each morning
  • Assist in ensuring kitchens and utility point areas are clean and tidy as required (c: 2 times per day)

Other

  • Attend and participate in administration meetings
  • Work effectively as a strong Client Services team member to ensure all Client Services requirements are addressed seamlessly
  • Other duties as communicated by the Operations Services Senior Manager or requests from other BST cohorts
  • Back up of other Client Services roles as required

YOU BRING (EXPERIENCE & QUALIFICATIONS):


  • Experience in office administration, hospitality or similar customer/client focused roles
  • Intermediate technical skills (Outlook, PowerPoint, Excel and Word)
  • Professional manner and corporate presentation
  • Sound organisational skills, with the ability to manage competing deadlines
  • Excellent communication skills
  • Enthusiasm and a strong team player, who proactively seeks opportunities to assist others
  • Strong focus on providing excellence in service delivery
  • Ability to work under pressure
  • Demonstrate honesty, integrity, and respect for others

Our business management and operations team members work to ensure that BCG is running smoothly, efficiently, and productively.

We are made up of executive and administrative (or case team) assistants, visual service artists, receptionists, facilities staff, and the team leaders and office coordinators who manage these operations and business management jobs.
