Description

The role:

The Executive Support Officer is responsible for providing high quality confidential, administrative and executive support.

The role is the first point of contact for various stakeholders across the organisation, Queensland Health and other external stakeholders.


In addition to this, you will:

  • Proactively organise all aspects of the branch leader's office including, (but not limited to):
  • Accurate up to date diary management (ensuring forward planning of regular meetings, accuracy of itineraries and provision of supporting documents for meetings).
  • Arrangement of travel
  • Establishment and maintenance of contact lists and bring up systems
  • Preparation of written information, letters, briefs and correspondence
  • Assist branch staff to develop, maintain and implement improvements to internal processes and conformance with business planning, records and financial management practices and requirements.
  • Provide staff with all the necessary resources such as templates, policies, standards, governance process.
  • Maintain effective working relationships by communicating, consulting and negotiating with Queensland Health (QH) ICT and health care professionals.
  • Undertake basic research on behalf of branch leadership team and prepare written reports on findings and options for possible action.
  • Deal professionally with sensitive and confidential issues that arise within the branch and form close working peer networks with personnel in similar roles.

The essential requirements for this role are:

  • Demonstrated ability to support the administrative functioning of the office of a senior executive or senior executive group.
  • High level written communication and interpersonal skills including the ability to liaise with a wide variety of clientele, such as senior executives, managers and members of the public on a range of sensitive issues.
  • Ability to work under mínimal direction and to manage competing priorities in order to meet deadlines.
  • Previous executive support to senior management will be highly regarded.
  • Experience working within either the Government or Health sectors will be highly regarded.
