The National Gallery of Victoria (NGV) is seeking a Project Assistant who under the direction of the Curator, Collections and Research, will provide efficient, professional, and confidential administrative assistance and project support to the Office of the Assistant Director, Curatorial and Audience Engagement.


ABOUT THE POSITION:


You will liaise with and assist the Curator, Collections and Research in providing administrative support to the Office of the Assistant Director, Curatorial and Audience Engagement in relation to the day-to-day activities including managing diaries, incoming and outgoing correspondence, booking meetings and events and processing relevant financial statements.


Other key responsibilities will include:

  • Coordinating and tracking documentation related to curatorial activities and projects, such as updating checklists, preparing lists and reports from the Collection Management System and assisting with the coordination and delivery of labels and didactics.
  • Assisting with the preparation and collation of presentations, documents and proposals related to department projects and administration.
  • Effectively monitoring the Assistant Director, Curatorial and Audience Engagement's tasks to ensure timely provision of support and/or information; assisting the Office of the Assistant Director, Curatorial and Audience Engagement with Audience Engagement and Learning administration as required.
To be successful, you will have a relevant tertiary qualification.

You are highly proficient in developing presentations using MS Office PowerPoint coupled with good knowledge and demonstrated skills in office administration, including MS Office products and experience in Adobe suite as well as the ability to manage appointments and schedules, handle and prioritise correspondence and organise files and information.

You can prepare communications using clear concise and grammatically correct language and handle highly sensitive and confidential information and material.

You can support other people in the time management of their tasks, uses time efficiently, developing realistic action plans and takes an organised, methodical approach to work.

You observe fine details, identifying gaps in information and looks for logical sequences of information. You establish and maintain relationships with people at all levels and forge useful partnerships with people across business areas.
