This is a fixed-term, full-time 12 month contract offering hybrid work arrangements working from our vibrant Alexandria office.


About the role


The purpose of this position is to coordinate all backend operations for Guided, Short Break, and Day Touring programs across Australia and New Zealand.

This includes system maintenance, loading costs and allotments, hotel and venue supplier bookings, internal air and accurate and timely allotments for all products.

Key responsibilities

  • Action Operations and pre/post Daily Action Reports including any last minute guest bookings and cancellations
  • Book and confirm all guest transfers
  • Working closely with the Onroad Operations team communicate all relevant information for Travel Directors
  • Book and confirm all hotels and venues for AUS and NZ guided product
  • Ensure accuracy and maintenance of the system with loading supplier costs, allotments, release backs
  • Using Product Advices communicate product changes to the business
  • Load all Tropics contracts release backs,
  • Work closely with the Regional Managers and the Product & Contracting team to complete prepare Day Tour and Short Break planning cards with ongoing maintenance.
  • Work with TMS and Tropics systems teams to ensure accurate build and maintenance of product
  • Coordinate SIC familiarisations & educational trips for staff
  • Support Administration Manager through the maintenance and updating of Product information in Airtable and Content 1 and GKC
  • Provide support to Onroad Operations team during any crisis/emergency situations
  • Action enquiries from the coach division, suppliers, reservations, finance

About you

  • Tertiary qualifications in Travel & Tourism or relevant work experience is desirable
  • A sound knowledge of Australia and New Zealand Geography is essential
  • Experience with the Microsoft Suite is essential
  • A knowledge of AAT Kings and TTC products is highly regarded
  • Ability to prioritise and manage multiple tasks, work well under pressure and meet deadlines
  • Strong administrative/analytical skills
  • High level of attention to detail
  • High level of accuracy
  • Proactive approach
  • Ability to work effectively in a team environment as well as independently
