The Role


Reporting to the Head of Project Performance and Production based in Sydney, the Project Coordinator - Canberra will be a valuable member of the national project management team.

This is a full-time role comprising two components: project coordination tasks (80% of time) and Canberra office management activities (20% of time).

Importantly, the Project Administrator is an essential member of the cohesive, small but growing Canberra team.

He/she will be the first point of contact for the Canberra office, with responsibilities for project coordination, office support, administration and basic financial reporting.

The Project Administrator also contributes to Bendelta's consulting activities, through delivery of teamwork, project management and contribution to business

development.


Responsibilities
Managing the coordination of all deliverables and logistics for projects including:

  • Inputting and managing project data into finance and project management systems
  • Maintaining and monitoring invoicing, project plans, project schedules, work hours, budgets and expenditures
  • Effectively and proactively managing client and administrative queries and requests, escalating to the Project Manager or Consultant, as required, to always ensure effective risk management and highquality service delivery
  • Scheduling tasks, meetings (internal and external), coaching sessions, general diary management
  • Booking meeting rooms, set virtual meetings and tech hosting across multiple
platforms, including setting up Zoom links and breakout rooms

  • Proofing, editing, taking meeting notes and distributing meeting agendas
  • Arranging and managing travel, venues, events and associated logistics
  • Liaising with the Graphics team on any project related printed materials and
distribution of program materials

  • Compiling materials and documentation, such as writing up workshop outputs
  • Client interaction communicating logistics / project planning, document gathering and management
  • Providing general team support, as required, at both a local and national level (e.g supporting internal and clientfacing priorities, such as helping with the preparation of client proposals)
  • Communicating and collaborating with other State offices, as required
Office management activities

  • Providing office management services and administrative support to the Canberra team as required

  • Strong time management skills with an ability to focus on priorities and solve
problems

  • Exceptional attention to detail, commitment to and passion to deliver high quality outcomes

  • PowerPoint and Excel skills, or a willingness and desire to learn them
  • An understanding of virtual technologies such as Zoom and Microsoft Teams, or a willingness and desire to learn them
  • A spirit of kindness, teamwork and collaboration
  • Selfmotivated, flexible, proactive and confident individual
  • Excellent interpersonal and communication skills both verbal and in writing

Team: It is critical to achieve a tight knit relationship with Project Managers and/or Project Leads allowing them to operate at a peak efficiency level. Supporting the internal Bendelta project team on the projects you work on.

Client: Contributing to the success of consulting projects through excellence in administration which increases Consultant and/or Project Manager's productivity, leading to high levels of client satisfaction.

Fees: Contributing directly to client facing projects by enabling Consultants and/or Project Managers to have more capacity to take on the day-to-day management of the project
