Our Federal Government client is seeking to engage a Executive Assistant on a contract for 6 months.


Position Overview


The Executive Assistant manages the smooth operation of the Executive Unit including the Executive's schedule, maintaining efficient and effective office systems and demonstrating high quality customer service.

The position also provides a coordination function to the Branch, regularly communicating with the Executive Group Manager's area, to coordinate corporate reporting and ministerial responses ensuring a high level of service and support is provided.


WHAT YOU WILL DO
Under limited direction, undertake work required for the delivering the team's responsibilities and tasks which may include:

  • Monitor the workflow, approval process and quality assurance of documents by ensuring all correspondence is correctly formatted on the appropriate templates and provided within the established timelines. This will also include appropriate electronic filing and use of the HPE Content Manager (TRIM) to progress for external clearances.
  • Contribute generally as a member of the wider Executive Support Team and as required, provide coordination and administrative assistance to support the functions of the Senior Management team and the Group.
  • Manage confidential and sensitive information in accordance with the relevant legislative and policy principles including maintaining records in accordance with the Territory Records Act.
  • Understand and work within the ACTPS Code of Conduct and ACTPS values of respect, integrity, collaboration and innovation, and model behaviour consistent with the ACTPS Respect Equity and Diversity framework.
  • Undertake other duties appropriate to this level of classification which contribute to the operation of the section and organisation.
  • This position does not involve direct supervision of staff.

WHAT YOU REQUIRE
The following capabilities form the criteria that are required to perform the duties and responsibilities of the position.

Professional / Technical Skills and Knowledge

  • Experience in or ability to provide high level administrative and secretarial services to executives and management teams. This includes a high level of diplomacy and confidentiality.
  • Demonstrated high level skills in Microsoft Office software and electronic records management system (EDRMS/TRIM).
  • Sound interpersonal, oral and written communication skills, including the ability to work with people across different levels, to represent ACT Property Group in a range of situations and build productive relationships with a diverse range of stakeholders.
  • Strong organisational skills with a demonstrated ability to be a selfstarter, be proactive, flexible and manage competing priorities while often working independently.
Behavioural Capabilities

  • Represent the interests of ACT Property Group as a whole and engage with other business units to deliver a unified service to the ACT Government and the customers.
