An industry leader and reputable company that has been operating for over 4 generations is expanding and seeking an experienced Executive Assistant that may be looking for a change from residential property management or sales.

About the role


The Rental Secretary is a pivotal role responsible for providing comprehensive support in managing rental property administration and assisting with trust accounting for the organisation's portfolio of 550 rental properties.

This role is essential in maintaining the smooth operation of the Rental and Sales Trust accounts. Additionally, the Rental Secretary will provide assistance to the Sales Trust account during periods of annual leave.


Key Responsibilities:


  • Trust Accounting Assistance to assist with reconciliations and financial tasks related to rental properties.
  • Contribute to the efficient management of the Rental and Sales Trust accounts, ensuring accuracy and compliance.
  • Administrative Support:Undertake diverse administrative tasks, including receipting and payment runs
  • Support the Property Management (PM) team in various administrative capacities, enabling effective client management.
  • Sales Trust Backup provide backup support to the Sales Trust account during annual leave periods.
  • Assist with reconciliations, receipting, and other related activities to ensure continuity.
  • Professional Development: Show a willingness to learn and gain insights into trust accounting processes and property management practices

Qualifications and Skills:

  • Previous experience in property management or administration is preferred.
  • Basic understanding of accounting principles and trust accounting concepts.
  • Proficiency in Microsoft Office suite, particularly Excel and Word.
  • Strong organisational skills and attention to detail.
  • Effective communication skills to interact with team members and clients.
  • Ability to manage multiple tasks and prioritize effectively.
  • Adaptable and flexible approach to work.
