It is also the location of the regional offices of the Southern Melbourne Integrated Cancer Service and Breast Screen Victoria, and a major centre for cancer-related and other medical research.


A Day in the Life:


The Personal Assistant will provide administrative/secretarial support to the Director of Medical Oncology but also to the Director's leadership team and other clinical staff as required.

You will work within an administrative team to provide support to the daily activities, future developments and growth of the Medical Oncology unit through coordination of all aspects of unit administration.

In particular, you will assist with management of all staff members, recruitment, liaison with partner organisations, roster preparation, weekly department meeting management, agendas and minute writing, enquiry management, and interdepartmental communication.


This is a full time ongoing position primarily based at Moorabbin Hospital.

What you bring
Communication skills and teamwork are extremely important in this role as you will be working in a diverse team. You are an experienced Personal / Executive Assistant or have administrative experience at an executive level.

You thrive working in a dynamic, fast paced environment and demonstrate a flexible, can-do attitude and strong organisational, communication and time management skills.


You also possess the following:

  • High level of organisational and time management skills
  • Excellent interpersonal skills and the capacity to function collaboratively within a multidisciplinary team
  • Demonstrated ability to work in a complex environment, to meet task requirements to a high standard and achieve deadlines; and to manage changing priorities in a flexible, positive way
  • Ability to prioritise work and exercise discretion with established policies, guidelines and procedures

_You will also demonstrate_

  • Previous experience working as an Executive, Personal or administrative assistant at Executive level
  • Extensive administrative experience in a healthcare setting is highly desirable but similar experience in other industries will be considered
  • Excellent customer service skills and a high standard of both written and verbal communication skills
  • The ability to use initiative and perform tasks independently and be able to work effectively and harmoniously as part of a team
  • Good organisational skills and be comfortable prioritising and meeting multiple demands
  • Excellent interpersonal and communication skills
  • Good working knowledge of hospital administrative processes and hospital systems (KRONOS, iProc, BEIMS, Riskman, Mercury Erecruit, LanPage, iPM) is desirable
