The Client & Role:


We are currently working with a large-scale Australian utilities organisation, they currently have a position for a Project Support Officer to support the project co-ordinator in all aspects of administration, record keeping, finance management support, resourcing support, logistics support and providing overall assistance as required.

Initially offered as a 6-month contract, the role has a strong likelihood of extensions or movement to other projects.


Responsibilities:


  • Set up and maintain project files.
  • Maintain document control procedures.
  • Assist as required in the collection of actuals data and forecasts and perform accruals.
  • Coordinate and establish meeting requests for various workshops, forums and general meetings. Maintain the Program calendar accordingly.
  • Take minutes and actions in various meetings as required.
  • Assistance with Resource Tracker as required.
  • Coordinate Onboarding and Offboarding of resources (including internal and external vendor resources).
  • Be the conduit for any helpdesk issues impacting the Program.
  • Administer the configuration management procedure.
  • Administer the receipt, identification, versions, storage and issue of all project artefacts.
  • Provide information on the status of all artefacts.
  • Archive superseded artefact copies.
  • Ensure the security and preservation of the master copies of all project artefacts.
  • Maintain a record of all copies used.
  • Notify holders of any changes to their copies.

Required Skills and Specialisms:


  • Experienced Project coordinator with good project management disciplines on large projects/ programs
  • Tools Skills Required: MS Office Suite and SharePoint Online
  • Process Skills Required: Basic knowledge of project management methodologies (Waterfall experience)
  • Strong stakeholder management skills, analytical & problem solving, good communication skills, careful eye for details, exceptional presentation skills and takes pride in quality output, multitasking ability & handson
  • Ability to provide assistance as required at short notice on a wide variety of administration requests that may come from the Project Coordinator or the various stream leads on the program.
