The Role
Reporting to the on site Senior Office Manager you will manage a small operations team & ensuring the smooth day to day functioning of both front of house and behind the scenes.
Your organisation skills, ability to maintain positive relationships with internal stakeholders and encouragement of the talent and skills of your team will contribute to the overall success of the firm.
Key responsibilities include:
- Warmly greeting clients and visitors, making them feel welcome and ensuring their needs are met.
- Maintaining complex calendars and schedules, coordinating meetings, and managing appointments with efficiency.
- Assisting in travel arrangements, including flights, accommodations, and ground transportation, to support the needs of staff and clients.
- Provide internal training to new hires within business services.
- Collaborating with various teams to prepare and proofread documents, ensuring high standards of accuracy and professionalism.
- Managing office supplies, inventory, and vendor relationships to ensure a wellstocked and efficient workplace.
- Handling incoming and outgoing mail, including sorting, distribution, and coordinating courier services.
- Supporting special projects, events, and firmwide initiatives, working closely with crossfunctional teams.
- Providing administrative support to colleagues and contributing to the overall success of the office.
About you
You come from a management or client services background within professional services and are looking to try something new.
- Full time availability / 5 days a week, in office.
- 2 + years experience within an office coordination or client services role.
- Proven experience in professional services or the legal industry.
- Strong interpersonal skills and the ability to build trust and manage a team.
- Exceptional organisational skills with a keen eye for detail.
- Excellent verbal and written communication skills with the ability to adapt communication to different stakeholders.
- Proficiency in utilising office software and technology, including the Microsoft Office Suite and other relevant tools.
- Outgoing, friendly nature with adaptability to navigate an ever changing work environment.
