We are looking for an Administrative Assistant to join our rapidly growing IntelliSpatial team based in Melbourne. This is a permanent role, with the option to work full-time or part-time hours.


About the role
This role will support our team of geospatial professionals across administrative, operational, project and budget tracking matters.

While no two days will look the same, the core functions of this role include:

  • supporting the IntelliSpatial team with administrative tasks and communications
- assisting with preparation and submission of proposals, quotes, and project plans
- assisting with project tracking and reporting
- assisting with invoicing, journalling and other commercial tasks
- ensuring all project documentation is up-to-date and actioned appropriately
- monitoring the document and data management environment for quality and compliance
- tracking and reporting on project financials and other accounting tasks


About you
This role will suit someone with a bright and positive attitude and a desire to get things done.

You will support and take some of the pressure of a team of talented, motivated technical people so that they can do their best work.

You are someone who contributes to effective delivery through your collaborative, helpful and organised nature.

In return you will be treated like a crucial player in a solid team who are always striving to do better and who treat each other like family.


  • 35 years' experience or exposure in a project administration or support role
- strong communication and stakeholder management skills
- ability to influence without authority attitude
- proactive and able to think strategically
- high attention to detail
- demonstrated ability to prioritise and manage multiple tasks in a timely manner
- proficiency in MS Office suite of products, particularly Microsoft Excel
- full Australian work rights.

You may also meet the below desirable criteria:

  • relevant experience in a construction, geospatial or surveying company
