The Role:
As an Administrative Assistant/Receptionist, you will be the first point of contact for clients, partners, and team members, ensuring a warm and welcoming atmosphere that sets the tone for excellence.
This role will require you to be based across numerous centres with the 3 main being Pacific Square, Eastgate Bondi Junction and Rockdale Plaza.
Duties:
- Greet visitors with a friendly demeanour, offering assistance and ensuring a positive first impression
- General reception duties including contractor sign in & maintaining key register
- Assist with facilities management tasks, such as coordinating repairs and maintenance
- Manage incoming and outgoing mail and packages, ensuring timely distribution

- Monitor and maintain office supplies, placing orders as necessary to ensure adequate inventory
- Keep track of all correspondence with tenants regarding the collection of PLI/COC, and make sure that these are received by the deadlines specified.
- Ensure information collected is updated in Yardi
- Coordinating travel arrangements and accommodations for team members
- Assisting with document preparation, including reports, presentations, and correspondence
- Raise all purchase orders and ensure the purchase order summary is kept up to date.
- Conduct casual lease audits of malls daily/weekly to verify adherence to bookings, site specifications, and reporting
About you:
- Strong experience in Office Management, ideally with experience in Retail Centre management administration but not essential
- Strong communication skills, both verbal and written.
- Excellent organizational abilities and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams).
- Ability to multitask and prioritize tasks effectively in a fastpaced environment.
- A positive attitude and a willingness to learn and adapt.
