This Federal Government Department is seeking an experienced

APS5/6 Administration Officer to join the team, contract until June 2023 with a 12 month extension, city location.


A key role for the Department is to strengthen communities and regions by fostering local economic growth and implementing good governance, including in Australia's external Territories.


The Australian Government, through this Department administers the Ashmore and Cartier Islands, Christmas Island, the Cocos (Keeling) Islands, the Coral Sea Islands, the Jervis Bay Territory and Norfolk Island.

The Department also manages the Government's interests in the Australian Capital Territory, and the Northern Territory.


The Territories Capital and Major Projects (TCMP) team primarily delivers infrastructure projects related to Australia's external territories of Christmas Island, the Cocos (Keeling) Islands (which make up the Indian Ocean Territories or IOT), and Norfolk Island, as well as the Jervis Bay Territory on the mainland.

The TCMP team manages and delivers a broad range of complex capital investment projects, procurement of complex service management contracts and the management of major service contracts.

These include port management services to Christmas Island and the Cocos (Keeling) Islands and Ferry and Bus Services to Cocos (Keeling) Island.

The

APS5/6 Administration Officer will report to the Assistant Director and work closely with the Director of the TCMP team. The role's primary task is to undertake administrative functions in support of the Assistant Director and Director, primarily focusing on secretariat support for newly established Boards and Working Groups and assisting with creation and implementation of governance arrangements for the Division.

The Admin Officer's key duties include:

  • Secretariat for the newly established Project Board;
  • Secretariat for the soon to be established Project Working Group (as above);
  • Perform and achieve procedural, operational, administrative and business support work in line with the Divisional and Departmental frameworks and processes;
  • Provide basic administrative assistance to members of TCMP with regards to procurement, contract management, research and communication;
  • Processing invoices, work with teams within the Division and Department to progress procurement and budget approvals and assist with setting up a contract management database
  • Supporting the Assistant Director and Director with creation and implementation of new governance arrangements;
  • Including researching existing frameworks within the Department to leverage off; and
Other core duties include

  • Liaising with staff and senior executive officers across the Branch, the Division, the Department and other Commonwealth agencies as required;
  • Establishing and maintaining strong relationships with the broad range of stakeholders, including staff located in Perth, Christmas Island, the Cocos (Keeling) Islands, Norfolk Island and the Jervis Bay Territory;
  • Providing other ad hoc general administrative duties for and in conjunction with the Director and Assistant Director.


The applicant will be adaptable, strong in their time management and prioritisation skills and be able to get across different operating environments quickly.

Demonstrated experience in similar roles would be advantageous. Relevant professional qualifications will also be considered.
