What this opportunity involves:

JLL is the global property service provider for the Australian Department of Foreign Affairs and Trade (DFAT). DFAT has a global presence with over 100 diplomatic missions in approximately 90 countries. The portfolio consists of 1,200+ properties, including chanceries/embassies, office properties, and a residential portfolio.


As an Administrative Assistant, you will be based in a DFAT office in Canberra and work closely with the JLL account leadership team.

Your role will involve coordinating management and governance functions, as well as providing administrative support to the account leadership team.


An Overview of the role:

Assist the Global Performance Manager in meeting contract management, governance, and performance requirements.
Provide administrative support to account executives, including scheduling meetings, coordinating activities, maintaining records, and drafting communications.
Prepare and proofread various documents, presentations, and reports, ensuring accuracy and adherence to standards.
Attend high-level meetings, draft agendas, and prepare meeting minutes.
Support team admin functions such as managing passports, processing system access requests, and monitoring mandatory training completion.
Liaise closely with the client team's Executive Assistants (EAs) and support staff to align activities.
Handle confidential and sensitive information with discretion and professionalism.

Previous experience in an executive support or administration role.
Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
Able to work both independently and collaboratively.
Strong written and verbal communication skills.
Proficiency with Microsoft Office products (Word, Outlook, PowerPoint, Excel).
Comfortable engaging with team members and clients at all levels, including senior executives.
Able to maintain a high degree of professionalism, confidentiality, and integrity.
Experience in the commercial property sector or Australian Public Service (APS) is desirable but not essential.
Australian Citizenship is a requirement for this role as you'll need to comply with client security clearance regulations
