The Position
The Executive Assistant/Office Coordinator will provide administrative, business support to two Senior Managers and look after the office to make things run smoothly.
Key Responsibilities
The purpose of the Executive Assistant is to provide pro-active, quality and comprehensive executive assistant support to two Senior Managers.
- Provide sophisticated calendar/diary management.
- Build strong relationships with the Senior Leadership Team, providing a bridge for smooth communication.
- Build strong relationships with the team to allow you to influence team members to achieve your deadlines.
- Work closely with the EA to the CEO to support with projects and work with other EA's in the business to create a "one team approach".
- Book and manage travel arrangements including; flights, car and accommodation bookings.
- Prioritise inquiries and requests while troubleshooting conflicts, make judgments and recommendations to ensure smooth daytoday engagements.
- Complete a broad variety of administrative tasks ability to effectively lead the organisation.
- Assist with special projects, designing and producing documents, reports and presentations, collecting and preparing information for meetings with the team and outside parties.
- Serve as the primary point of contact for internal and external stakeholders on all matters pertaining your managers including those of a highly confidential nature.
- Work closely with your Managers to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
- Office Coordination: Greet visitors, manage office and stationery supplies, liase with landlord, coordinate functions and catering as required.
Skills & Experience
- Minimum 3+ years' experience working in an Executive Assistant or Personal Assistant
- Expert proficiency with Microsoft Office
- Enjoy diary management
- Exceptional organisational skills and impeccable attention to detail.
- Excellent communicator and relationship builder able to interact with people of all levels in a confident and professional manner both written and verbally.
- Business sense has a strong business sense and can decipher priorities and make sound judgement calls when needed.
- Ability to think outside the box with a sense of urgency and switch gears at a moments notice.
- Enjoy working in a fast paced environment.
