Trayne Consulting is currently recruiting for an all-round Admin Manager that can support our Clients busy team, located in Nerang.

Our client is a globally recognised brand, that is sold in more than 40 countries and has been established for over 40 years.


Reporting to the Operations Manager, we are looking for a self-motivator who can lead a small team whilst alleviating the day-to-day admin & reception pressures to ensure the efficient operation of the office, whilst supporting the Operations Manager, the Technicians as well as the Customers and Suppliers.


This is a full time permanent role where you will work from the office Monday - Friday 8am - 4.30pm with a 30 min lunch break.

You will be part of a fast-paced, busy small team, that prides itself in no job being too big or too small and that has an attitude of 'just getting the job done".


Key Responsibilities:


  • Lead, mentor and coach a small administration team.
  • Hands on in the daytoday duties of the office including but not limited toAnswering phones in a timely and efficient manner dealing with new enquiries, account set up and existing customers.
Liaising with technicians to book in service calls and follow up on jobs, as well as logging & maintaining Machine Service JobsData entry of customer orders and payments and checking information is accurate in both Quickbooks & Xero (training to be provided in these systems)Arrange travel & accommodation for staffOrder and maintain stationery as well as kitchen suppliesDaily trips to the bank as well as collection & drop off of mail to the post office as well as run errands as directed

  • Communicate with Freight Providers & External Contractors, resolving any issues as they arise
  • Liaise with the Sales and Service team to ensure all jobs are being completed in a timely manner.
  • Respond to customer escalations, ensuring a positive resolution for both the client and the customer
  • Assist with marketing, presentations and adhoc projects as directed by the Operations Manager

Required Skills & Experience:


  • Demonstrated experience in a similar role as an Admin Manager leading a small team highly regarded, however this role will also provide opportunities for those that have worked as an Administrator looking to take that next step in their career. Training and mentoring will be provided for those with a passion and positive attitude to work in an Admin Manager role.
  • Accounts experience will be highly regarded
  • Excellent customer service and strong team player with strong problem solving skills
  • Must have strong Microsoft office experience including Word, Excel & Outlook with the ability to quickly learn Quickbooks and Xero plus data entry skills
  • Excellent communication skills both verbal and written with the ability to build positive relationship with both internal and external customers
  • Highly organised, with the ability to multitask, prioritise, be proactive yet stay calm whilst working in a busy environment
  • Strong attention to detail as you will be cross checking customer orders ensuring all payments are entered correctly and processed
  • Positive and cando attitude to take on any new duties where no task is too big or too small
  • Your own reliable vehicle and full clean drivers license

Please note our client remains open during the Xmas/New Year period (with the exception of public holidays).

Whilst they run on skeleton staff you will be expected to work every other Xmas period.

In addition, due to the nature of the business, preference is that annual leave is taken during May - September where possible.


Salary:
$60, $65,000.00 per year
