  • Proven capacity to oversee the College Principal's calendar of appointments and effectively manage administrative tasks associated with the office of the Principal.
  • High level verbal and written communication skills, excellent interpersonal skills and the ability to liaise effectively with all members of the school community.
  • Demonstrated ability to work under direct instruction balanced with the ability to work with initiative, prioritising and managing competing work demands in a timely manner.
  • To be able to act professionally and ethically at all times, particularly when dealing with matters of a sensitive or confidential nature.
  • Capacity to effectively manage time, the working day and balance multiple competing priorities.

Role:


Attendance Requirement:


  • The attendance requirement for this role is fulltime (38 hours per week).
  • Attendance of up to five days before the start of the school year will be required, along with up to five days during the September school holiday period. A regular leave purchase allowance will be paid for agreed time.
  • Reporting directly to the Business Manager and providing support to the Executive Leadership Team consisting of College Principal, Assistant Principals and Business Manager, the Executive Assistant provides executive support in a oneonone working relationship. The Executive Assistant serves as the primary point of contact for members of the College community on matters pertaining to the position of College Principal and serves as his/her liaison to the College Council.
  • The Executive Assistant will:
  • Have the ability to exercise good judgment in a variety of situations
  • Demonstrate strong written and verbal communication, administrative, and organisational skills
  • Be able to maintain a realistic balance among multiple priorities
  • Have the ability to work independently on projects, from conception to completion
  • Be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion
  • Capacity to liaise with community organisations, staff and all members of the college community including parents and students
  • Minute taking in relevant school committee and leadership meetings
  • Act as nonparticipatory executive officer of the Consultative Committee

Responsibilities:


To provide administrative and logístical support in the preparation of all materials and documentation needed by the College Principal in addressing his/her responsibilities.

In addition to this, the role involves completing a broad variety of administrative tasks for the College Principal including (but not limited to):


General

  • Support other administration staff with answering of phones and front desk queries
  • Attend to first aid when additional coverage is required
  • Any other duties as directed by the Business Manager and Principal

Executive Assistant duties

  • Manage telephone and inperson enquries for the Principal
  • Manage the College Principal's calendar of appointments, including coordinating and scheduling meetings, key events, and planning processes
  • Preparation of written correspondence and managing follow up correspondence whilst maintaining the confidentiality of information
  • Communicating directly, and on behalf of the College Principal, with members of the College community
  • Managing incoming issues and concerns addressed to the College Principal, including those of a sensitive or confidential nature
  • Participate as an adjunct member of the College School Council and Finance Committees, including attending all meetings (evening meetings on the third Tuesday of each month)
  • Darft and distribute agendas, take minutes and maintain action logs for relevant school committee and leadership team meetings

Other responsibilites

  • Assist with the running of the administrative area and ensuring office staff follow guidelines according to DET policy
  • Update and maintain the College calendar in Compass and the Term Planner
  • Maintain up to date staff phone lists and morning tea rosters
  • Processes orders for new staff Compass Cards and name badges
  • Contribute to the planning and organisation of whole College events invloiving the community, for example Principal Tours, Showcase, Christmas events
  • Coordinate good housekeeping in the electronic file storage
  • Maintain supplies for the staff room and process relevant purchase orders
  • Any other duties as directed by the Business Manager and Principal
