The Opportunity
We have an exciting opportunity for an Executive Assistant to join our team on a Permanent Part Time Basis (2 Days a week) to support our Executive Team.
Duties include but not limited to:
- Diary management and administrative support to the Executive Team and SMSAPH Members, including but not limited to presentations and document creation.
- Manage and coordinate executive schedules, including calendar management, travel arrangements, and meeting and event coordination
- Taking minutes during meetings, and following up on actions. Preparing and editing correspondence, communications, and presentations on behalf of executives.
- Conduct research and compile data to prepare reports and presentations.
- Act as the primary point of contact and ensure a fivestar experience for internal and external stakeholders.
- Manage all company events and work closely with other internal staff.
- Put content together for company marketing and oversee SMSAPH website.
- Handle confidential information with discretion and professionalism.
- Perform general office duties, such as filing, answering phones, and managing office supplies.
To be successful
- Proven experience as an executive assistant or in a similar administrative role.
- Strong organizational and multitasking skills.
- A selfstarting organised and motivated individual who takes initiative
- Exceptional writing skills for meeting agendas and Board minutes are a must.
- High level of diligence, confidentiality, professional discretion, and resilience.
- Proficient in Microsoft Office Suite
- Ability to work independently and collaboratively in a fastpaced environment.
- Ability to multitask, prioritise and respond to the unexpected.
