Responsibilities include:
- Provide highlevel executive, secretariat and administrative support to governance bodies and their membership, including but not limited to the QBC Board, Board committees and the Industry Advisory Committee.
- Coordinate all aspects of QBC Board meetings and events, regional outreach visits and visit programs, and intraState travel.
- Coordinate correspondence and draft replies for consideration by Board members.
- Provide highlevel advice and assistance on good governance and meeting procedure to assist the presiding officer at meetings to perform their duties.
- Collate and monitor progress on action items arising from meetings.
- Manage the Governance Calendar and forward work plans so the Board and its committees meet their obligations.
- Oversee and manage the preparation of meeting agenda, attendance and logistics associated with the hosting of meetings, including but not limited to:
- Agenda preparation and review
- Tasking for the preparation and submission of highquality Board papers and similar proposals, ensuring writing and formatting standards are followed
- Compiling and circulating papers, including via Diligent Board
- Attending meetings, taking detailed notes and, drafting comprehensive draft minutes
- Reporting outcomes, actions arising from meetings and tracking progress
- Managing the Action Items register
- Liaison with management to ensure Board and committee papers are tasked out and submitted according to agreed timeframes
About You/Metric Requirements:
- Demonstrable knowledge of good governance practices and previous experience implementing such practices through the provision of secretariat services to a Board or senior executive group.
- Experience in taking notes, drafting comprehensive and concise minutes, and electronic record keeping and retrieval in accordance with government requirements.
- The ability to plan, manage workloads independently and engage confidently with a range of internal and external stakeholders to meet targets and deliver outcomes.
- Effective time and project management skills and the ability to delegate and explain tasks appropriately in a collaborative team environment.
- Excellent written and oral communication skills, including attention to detail and running quality control over deliverables.
- Demonstrated experience and ability in maintaining a consistent, strict adherence to confidentiality of information and systems.
- Thorough knowledge of the Microsoft Office suite is mandatory. Prior experience using Diligent Boards or a similar platform for the conduct of Board business would be advantageous.
