The Opportunity:


Urbis is on a continuous journey of transformation and digital enablement through various technology projects, focused on innovation and continuous improvement.

The Service Operations Coordinator role supports the Information & Digital (I&D) leadership team with various administrative and service management activities to ensure the best possible services are delivered to the business.

We are looking for a bright, passionate tech savvy, administrator to join our Melbourne I&D team.


You will be:

Vendor, Contract and Financial Management

  • Mange the processing pf purchase orders and invoicing, liaise with our finance team to ensure accurate billing, reporting, allocations, payments, and expense tracking.
  • Maintaining contracts register for all I&D contracts and renewals
  • Maintain software license and renewals register
  • Establish and maintain effective relationships with key internal stakeholders and external vendors to assist in driving IT contract pricing negotiations.
Service Management and Project Coordination

  • Identify and implement service management/operations improvements, and help mature processes through standardisation and documentation
  • Support the I&D leadership team in the development of regular service management reporting
  • Provide administrative/analytical support to Project Manager.
  • Assist with coordinating project scheduling and budget tracking
Communication & Training.

  • Assist in the creation/distribution of userfriendly communications and development/maintenance of service management communication templates
  • Assist in the maintenance of the I&D intranet site/portal content.
  • Support creation and ongoing maintenance of end user training and user guide documentation

About You:


  • Minimum 3 years of experience in a similar admin role (within an IT environment would be advantageous)
  • Experience with identifying and implementing business process improvements
  • Experience working with external vendors and managing/administering contracts
  • Strong commercial acumen, business judgement and an entrepreneurial attitude, with excellent analytical skills
  • Participation and understanding of a budgeting process
  • Intermediate to advanced level of experience using Microsoft products (Outlook, Word, Excel, PowerPoint and Teams)
  • Excellent written and verbal communication skills which include producing wellconstructed highquality written work and the ability to communicate and train others
