The Role

The APS6 Executive Coordination Officer in the Capital Facilities and Infrastructure Branch (CFI) is part of a small team responsible for providing efficient coordination support for CFI.

To be successful in this role you will have excellent attention to detail, high-level representational skills and the ability to influence stakeholders in a dynamic environment.


Duties may include but are not limited to:

  • Management of the Branch Workgroup Objective Structure (the Defence approved records management platform) via internal audits and leading improvement, innovation and efficiencies, conducting sentencing activities, training, manage access requests, creation of files, creating workgroup groups, actively representing CFI's interest at Workgroup Coordinator Forums and managing CFI's 'paperlite' initiative to reduce hardcopy document and physical files in the office
  • Provide administrative support to the executive and corporate services functions of the Branch, including coordinating and assisting in preparation of Branch responses for signature of the Director General Capital Facilities and Infrastructure
  • Assigning and collating briefs such as senate estimates briefings, Questions on Notice and coordinating document management via the Parliamentary Document Management System (PDMS)
  • Management and triage of the Branch Executive inbox, coordinate Branch briefings and contribute a strategic perspective where appropriate, including oversight of the Branch contribution to regular reporting requirements.

About our Team

The Capital Facilities and Infrastructure Branch in the Security and Estate Group is responsible for the planning, development and delivery of projects in the Enterprise Estate and Infrastructure Program, including the progression of projects through the Parliamentary Standing Committee on Public Works process.


The Business and Executive Support team operates in a high tempo environment and provides support to maintain the Branch's resource management as well as day to day administration operations, operating budget, financial processing, procurement, human resources, Workgroup coordination, office management, recruitment, taskings coordination, personnel administration, asset management, staff training and event planning for Branch activities.

  • Skills, experience, training and/or qualifications in Workgroup Coordination, preferably with Objective as the official Documents Records Management System.
  • Highlevel organisational, coordination, interpersonal, and administrative skills.
  • Strong written, editing and verbal communication skills, including the ability to concisely summarise information and to work collaboratively to resolve complex issues.
  • Demonstrated highly developed communication and interpersonal skills, including managing stakeholder relationships, and an excellent ability to consult and negotiate with a wide variety of stakeholders including contractors, APS and military staff.
  • Demonstrated ability to coordinate and deliver multiple taskings with conflicting deadlines within tight timeframes and work effectively under pressure, in a team environment.
  • Effective office management and administrative / coordination support skills.
