Description
We are seeking an experienced and detail-oriented Executive Assistant to provide advanced and confidential administrative support to our dynamic team.
The role is an initial 12 month contract with potential for longer term/perm in the furure.Position Summary:
You will play a crucial role in ensuring the seamless operation of the division.
You will manage a diverse range of administrative functions, including complex calendar management, international and domestic travel coordination, and high-level client interactions.
Your exceptional organizational skills and ability to maintain confidentiality will be essential in this role.Key Responsibilities:

Calendar Management: Effectively manage complex calendars, including the coordination and scheduling of internal and external meetings, often across different time zones.

Travel Logistics: Arrange international and domestic travel, including all on-ground logistics, ensuring a smooth travel experience for team members.

Expense Processing: Utilize Concur or similar software for processing complex expense reports, maintaining accuracy and compliance.

Communication: Interact internally across various business functions, including finance, human resources, and technology. Communicate externally with clients and their teams, requiring a high degree of professionalism and diplomacy.

Event Coordination: Organize internal and external events, from approval and invitation management to RSVP tracking and function logistics.

Administrative Support: Provide diverse and advanced administrative support, including composing, signing, and sending correspondence on behalf of the company.

Multi-Tasking: Manage a large team of bankers and juggle multiple objectives, projects, and activities simultaneously.

Client Interaction: Engage in high-level client contact and handle sensitive information with tact, diplomacy, and sound judgment.

Phone Coverage: Provide comprehensive phone coverage and collaborate with the broader administrative support team.

Resource for Policies: Serve as a resource for basic company policies and procedures.
Qualifications:
- 5+ years of experience as an EA/PA/ in financial services or professional services, with a preference for executivelevel support experience.
- Strong attention to detail and the ability to thrive under pressure and meet deadlines.
- Exceptional communication skills, both written and verbal, maintaining a polished and professional demeanor.
- Excellent time management, organizational, multitasking, and prioritization abilities.
- Experience with Concur or similar tools for travel and expense processing.
- Advanced proficiency in Outlook and other Microsoft Office programs (Excel, Word, PowerPoint).
- A strong work ethic with a demonstrated ability to learn quickly and take on new responsibilities.
