With an expected mine life of 30+ years, it will underpin a long-term iron ore business and provide sustainable benefits to the regional community we operate.

The operation includes a large open pit mine, complex ore processing and beneficiation plant and significant infrastructure and logistics networks.

We have an opportunity for an experienced
Project Administrator to join our busy Projects team.

This role will require adhoc site visits and will be responsible for providing administration support to the Karara Projects department to ensure group objectives are achieved to the required quality and within given timeframes.

The position will also assist with the day to day coordination of the contractor workforce in alignment with Karara systems, procedures and processes.

This position will be offered as a

Term contract.


Main responsibilities:


  • Provide endtoend administrative support to internal stakeholders including answering telephone queries, data entry, arranging meetings and annotation of meeting minutes.
  • Submit travel requests for both Karara and Contract Partner Personnel, including gathering and submission of all related documentation as per Karara mobilisation procedure.
  • Archive works related information to the required standard.
  • Manage the Job Hazard Analysis (JHA) and Detailed Job Procedure (DJP) register to ensure all records are maintained in an auditable manner.
  • Manage and maintain Projects Department rosters and roster spreadsheet.
  • Monitor the training matrix and coordinate with the Health, Safety and Training Department to ensure trade qualifications, competencies and compliances remain current.
  • Assist with the development of Projects Department reports, presentations and Key Performance Indicators (KPI's) for the Karara Leadership Team, as required.
  • Manage the requisitions of Personal Protective Equipment (PPE) and maintain the clothing register for the Projects Department.
  • Assist with End of Month (EOM) reporting activities and support other group, such as Projects Document and/or Cost Controllers, as required.
  • Create Purchase Requisitions (PR's) and Site Instructions (SI)
  • Record approved overtime hours for contracting partners.
  • Coordinate and liaise with contract partners to ensure timesheet information is captured and communicated within the required deadline.
  • Manage the timesheets process to ensure data meets the required standard and provide feedback to key internal stakeholders ensuring the processes efficiency.
  • Undertake other reasonable tasks and duties as directed by the manager.

Essential skills and experience;

  • Western Australian C Class Drivers Licence.
  • Proven experience in an Administrative and/or Secretarial position.
  • Proficient in the use of Microsoft Office Word, Excel, PowerPoint and Outlook.
  • Strong attention to detail, numerical accuracy, typing accuracy and customer service.
  • Minimum 6 years' experience in the similar role.
  • National Police Clearance.
  • Permanent work rights in Australia.
