Part-time 3 days per week, 12-month contract with option to extend

About the employer


The Department of the Prime Minister and Cabinet is responsible for providing support to the Prime Minister, the Cabinet, portfolio ministers and Assistant Ministers, as well as former Governors-General.

Support is also provided to former Governers-General to administer entitlements under the Act.

Through the coordination of government activities, provision of effective policy advice and development, the Department seeks to improve the lives of all Australians.


About the position
We are seeking an experienced and skilled administrative assistant to support a high profile former Governer-General.


Requiring a commitment to working three days a week, this role will showcase your ability to work autonomously, and sometimes in isolation from other teams.


In this role, you'll enjoy assisting your people-focused and dedicated former Governor-General in their work within community projects and an Arts-oriented portfolio.

With a reputation for a relationships-first approach, your leader will appreciate your eloquent manners and respectful interactions with others.

Your trustworthy and personable nature will allow you to build a close working relationship with your leader in return for your reliability, independence and superior attention to detail.

Additionally, your deep executive assistant experience will shine through the identification and implementation of continuous improvement opportunities.


Key to your success are your exemplary written and verbal communication skills, and discreet character, to reflect positively on your leader and their key contributions to the community.


While you will be an employee of the Department of the Prime Minister and Cabinet, you will receive training and support to perform at your best in your role working for your leader.


Position responsibilities
- providing quality and timely administrative support across a range of functions
- managing correspondence and invitations in a professional and prompt manner
- building positive relationships with internal and external stakeholders to manage enquiries and provide high quality advice
- complex diary management, including the arranging of meeting logistics as required
- arranging travel bookings and itineraries, in consultation with the Department and in accordance with Departmental guidelines
- coordinating ComCar transport for the former Governor-General
- adhering to established work practices, and implementing appropriate processes where no guidelines exist
- securely managing records to create, store, retrieve, catalogue and archive both paper and electronic information
- following purchasing guidelines in accordance with the Public Governance, Performance and Accountability Act2013 and in line with Departmental guidelines

Preferred skills and experience

  • 7 years' experience working within in a similar role supporting senior executives, or business leaders in the public eye
- expert proficiency of Microsoft Office
- willingness to undergo background checks to achieve the required security clearance (The Department of Premier and Cabinet will support you in organising Baseline security clearance level if needed)


Eligibility


Under section 22(8) of the Public Service Act 1999, employees must be Australian citizens to be employed in the Australian Public Service (APS) unless the Agency Head has agreed otherwise, in writing.
