The role


VIA Care is looking for a Compliance Officer to assist with the overall corporate governance, providing the link between corporate objectives, strategic priorities, quality practices and ultimately outcomes for those we serve.


The Compliance Officer will oversee and ensure quality and compliance relating to processes, practices, policies, and procedures that ensure accreditation success.

The Compliance Officer will support a culture of continuous quality improvement, safeguarding, and compliance. The position is responsible for professional reporting that enables effective decision making.


Key tasks
The role comprises of undertaking a wide range of tasks and responsibilities such as:

  • Maintain a strong knowledge of the obligations under the NDIS Act 2013, the NDIS Quality and Safeguards Commission and any other relevant regulations or legislation including but not limited to WorkSafe and Fair Work obligations.
  • Brief relevant staff and management on any changes to regulations, legalisation, and the NDIS Price Guide.
  • Monitor and maintain compliance systems and compliant work practices across the NDIS services within the VIA Group: VIA Care and Victorian Home and Community Care (VHCC).
  • Ensure the best interest of NDIS participants and their families is promoted by systems and processes within the organisations.
  • Maintain policies, procedures, forms, and templates and implement updates as required to maintain compliance and promote best practice.
  • Maintain the compliance of client, staff, and contractor files.
  • Monitor the claims process for compliance with NDIS and relevant state and territory requirements.
  • Establish and drive a schedule of professional development across the care services workforce which promotes contemporary best practice and develops skills which serve client needs.
  • In partnership with management, drive the change management process when business and systems and practice are undergoing change for the purpose of compliance or practice improvement.
  • Manage incident reporting obligations of the NDIS Quality and Safeguards Commissioner and review internal incident reports with a focus on process and practice review to promote safe work practices.
  • Oversee the regular review of workflow processes related to restrictive practices, monitor adherence by operations to processes and provide ongoing process improvement to ensure any restrictive practices represent the minimum necessary restriction, maintain full transparency, are fully reported, and consider the best interest of the participant.
  • Monitor social media and promotional material to ensure all public relations activities are consistent with NDIS and other relevant regulations.
  • Support the general operations of the organisation by undertaking tasks reasonably allocated where such tasks are reasonably consistent with skills, capabilities, and general duties of a Compliance officer.
  • Manage site specific NDIS quality compliance requirements in accordance with the NDIS Practice Standards and work with VIA Care management to develop, monitor and review policies and procedures.
  • Provide operational support to VIA Care management and other operational leadership.
  • Provide daily clinical oversight with regular review of shift notes and incident reports.
  • Contribute to the development, implementation and review of policies, procedures and strategies relating to VIA Care.
  • Participate in onsite and remote audits and maintain compliance documents.

Skills, knowledge, and experience

  • Experience in providing administrative support in quality and compliance systems.
  • A good understanding of restricted practices authorisation, implementation, and overall requirements in the state of Victoria.
  • A good understanding of the NDIS Practice Standards
  • Demonstrated knowledge of the Mental Health and NDIS Sector including accreditation standards and processes and Frameworks.
  • Experience with safety and quality management systems, regulatory compliance, and internal audit management.
  • Experience with assisting in the development of organisation wide policies and procedures.
  • Strong attention to detail and outstanding written and verbal communication skills.
  • Exposure to and/or experience in delivering/facilitating training to all levels of staff.
  • Results focused, innovative and determined in approach to delivering quality of outputs.
  • Strong communication and time management skills with the ability to work under pressure.

Minimum Qualifications
Relevant experience or qualifications in business administration, social work, social sciences or relevant.
