Product Administrator

How will you make a difference?
The Product Administrator supports the Portfolio Management groups (Portfolio Leader, Product Manager, Associate Product Manager) in the delivery of effective, timely and accurate product support to customers/market as well as the field sales teams, thereby enabling the commercial teams to maximise face-to-face customer time and the organisation to continuously improve the Customer Experience.
A key aspect of this is to ensure data governance controls are strictly followed for the Product Master data, to enable the Quote to Cash process to be effective.
You will make product recommendations, support with training materials, certificates and other support, including the administration and governance of product master records within the ERPSpecific duties include:
Key Responsibilities:
Product Support & Strategy Implementation
- Maintain product master including new item setups, description maintenance, replenishment data, pricing, ongoing database audits, upload and provision of Certificate of Analysis (CoA), etc to ensure internal partners and end customers can easily and accurately locate product information.
- Support the Product Managers in their communication with both internal and external customers, relating to technical and product queries, so that appropriate and accurate information may be communicated as efficiently and effectively as possible.
- Provide support for relevant agencies so that internal staff, service & sales teams, product management and customer needs are responded to, actioned and met in a timely manner
- Ensure that any supplier price changes of products are updated on Masterpack (ERP) to ensure that sell prices and landed costs are up to date on Product Manager instruction and approval, and in line with the pricing policies
NOTE:
Product Administrators are the gatekeepers of the process, not the decision makers on pricing
- Ensure that Quote to Cash dependent data is maintained to a high level of accuracy to ensure orders (sales and purchase) can be processed rightfirst time
Portfolio Administration
Support Product Managers by:
- providing required information towards quotations, the compilation of responses to large bid/tenders and the preparation of supplier reports
NOTE:
you will not be responsible for the actual preparation of quotes.
- for self-manufactured products, maintain price administration from Global Strategic Pricing input aligning with FBP - formula-based pricing.
- support the allocation, sourcing, development and replenishment of sales support resources, including literature, e-collateral and samples.
- ensuring product data consistency across multiple digital platforms
- E1 (ERP, JD Edwards EnterpriseOne), Agile (Product Lifecycle Management), Oracle Cloud, Workfront and OTMM (OpenText Media Management).
Minimum Requirements/Qualifications:
- Tertiary qualification in a science field including chemistry (highly desirable).
- Laboratory experience (highly desirable).
- Previous experience in a sales & marketing or administrative support role
- Experience within complex value chains, where data is a critical enabler of processes
- Some familiarity with core business processes like quotetocash (QTC), procuretopay (PTP) and master data management (MDM)
- Excellent communication, both written and verbal, with the ability to converse with clients of varying technical knowledge.

- Eye for detail, and a focus for service levels
- Strong time management and organisational skills, with a methodical approach to processes.
- Ability to successfully prioritise a fluctuating workload effectively whilst meeting customer expectations.
- You will work alongside a team of Product Administrators and will be responsible for a specific Product Portfolio, using the team's expertise for mentorship and support.
