This is a part time positon, 3 days per week, 8 hours per day. Days are flexible, but must include Wedensday


Essential skills

  • Fast and accurate typing skills
  • Advanced Microsoft Office Suite skills, particularly Word and Outlook
  • Experience with Adobe Acrobat
  • Excellent time management skills
  • A willingness to support and assist staff in all matters as required
  • A friendly, professional demeanour and telephone manner
  • Professional presentation
  • High levels of motivation and initiative
  • Understanding the importance of confidentiality

Duties include, but are not limited to, the following:


  • Full reception duties:
  • Answering telephones
  • Maintaining common areas including meeting rooms and foyer areas
  • Updating agenda and assignment list for weekly team meetings, taking minutes during the meeting and ensuring followup on tasks
  • Diary management and coordination for the team
  • Scheduling and booking appointments (facetoface, Microsoft Teams, Zoom)
  • Booking flights and organising other travel arrangements as needed
  • Taking dictation and typing from handwritten notes
  • Maintaining stationery supplies
  • General kitchen duties
  • Maintaining filing systems
  • Photocopying, binding
  • Assisting with regular marketing mailouts and phone calls
  • Assisting/supporting the Office Manager when necessary
  • Liaising with Building Management and/or IT support as required
  • Any other ad hoc requests

Assignment specific work

  • Creating new assignment files (physical and electronic)
  • Shutting down and archiving closed assignment files
  • Preparing client proposals and position descriptions
  • Data entry to specialised Executive Search databases
  • Generating client reports from databases
  • Uploading job ads to Seek and LinkedIn
  • Maintaining assignment details within Kestria's 'Buddy' database
  • Overseeing the continued maintenance and filing within assignment folders
  • Performing research as required
