  • Our valued cleint, a leading global supplier of downhole tubulars and engineering solutions, are looking for an Operations Coordinator to join their Bibra Lake operations on a permanent basis.
  • This job title is responsible for daily operations matters, communicating with customers regarding ongoing projects and shipping & receiving. The individual works with shop, inspection/ repair, and transportation personnel. Responsible for maintaining and ensuring all equipment is always kept in a rentable condition.

Duties and Responsibilities

  • Assist Business Development in developing forward strategies for
- growth and business development in the area.

  • Coordinate shipping and receiving through customer correspondence.
  • Expedite equipment as necessary to fulfill customer demands.
  • Responsible for sourcing freight movement quotations and
- administrating the process of mobilising company assets on a global scale.

  • Work on Import/ Export documentation for equipment movement to customers in other countries.
  • Organisation of machine shop repairs.
  • Develop & maintain relations with machine shops to aid turnaround.
  • Have equipment delivered, repaired or modified as necessary.
  • Generate delivery tickets, purchase orders, repair tickets and rental return tickets as necessary
  • Assist in maintaining inventory control accuracy
  • Maintain records of inprocess order activities. Along with all documentation of rental equipment.
  • Ensure all operations related paperwork is completed as per PCP
  • Inform manager(s) on inventory control and daily basis.
  • Communicate with customers and vendors regarding equipment location and status
  • Interact with accounting personnel regarding accounts receivable and accounts payable as necessary
  • Notify QA, BD, Management and Customer on status of repaired or modified equipment as required
  • Basic knowledge and competency to be able to service mechanical, hydraulic & pneumatic tools to company standards. Whilst maintaining high level of tool presentation at all times.
  • Lead by example & develop a positive attitude to work & safety.
  • Ensure timely delivery of equipment to meet customer requirements.
  • Ensure all returned tools are serviced & returned to stock in a timely manner.
  • Maintain areas in a safe & efficient working condition.
  • Develop & control an effective inventory of spares to meet market demands.
  • Maintain & promote company standards.
  • Ensure pipe yard is kept clean, tidy and presentable at all times.
  • Ensure all tubulars are stored correctly. Racks / Stows of pipe are kept and maintained in a safe manner.
  • Ensure all tubulars have protectors fully fitted and connections have fresh or suitable dope applied.
  • Ensure any 3rd parties carrying out work on behalf of the company fully understand our standards and expectations.
  • Support other departments through provision of resources.
  • Submit weekly activity report and plan for coming week's activities to BD, General Manager and Regional Ops manager.
  • Any other duties that the management team request that are deemed competent to carry out.
  • Ensure Opus is current. N/R's have been reconciled, stock has been received/transferred, all Inspection reports and COC's have been uploaded, physical inventory match to what is in Opus and comments are up to date in the daily utilization.
  • Initiate asset disposal requests in opus for any items that are scrap and not considered a sale item in Opus and once approved, create sale of company property (WS0907) for approval before sending to scrap dealer.
  • Update all quotes in opus and make sure they are current and close off any that are no longer active.
  • For any new assets, create an ARW for approval and relevant paperwork for further approval such as COF, IRF and PRF

QHSE requirements

  • Carry out worksite safety observations (SHARP) to identify any unsafe
- working practices during daily routine worksite tasks.

  • Identify any nonroutine tasks that require a Stop Work Authority and
  • Job Safety Analysis prior to proceeding with the job safely.
  • Carrying out regular site inspections to check QHSE policies and
- procedures are being properly implemented and that they are being
- followed.

  • Retain records of HSE inspection findings and produce reports that
- suggest improvements.

  • Participate in the hazard analysis and risk assessment process,
- considering how risks could be further reduced.

  • Reporting of incidents and accidents and near misses as per Company
  • Target Zero policy and legislative requirements.
  • Maintain a working knowledge of all relevant Company Target Zero
- policies.

  • Attend and record daily QHSE Toolbox Talks, including 3rd party.
  • Assist in the delivery of the site QHSE objectives and targets.
  • Maintain personal QHSE training at 100% compliant.

Knowledge, Skills and Abilities
