Our opportunity


As Team Assistant, GAS Finance, you will provide administrative support to GAS Finance leaders of Group, FP&A, Corporate & Business Support COE and their wider teams.

This position will work closely with the Personal Assistant of Finance whilst providing backfill support to the Group General Manager, Finance when needed.


Your responsibilities will include:


  • Diary coordination for Finance leaders and scheduling meetings including room bookings for Half Year and Year End reporting, Budget and Forecast Presentations.
  • Take and prepare minutes as required.
  • Assist in maintaining appropriate systems, procedures and controls.
  • Assist with document formatting including updating and maintaining policies etc.
  • Organise travel arrangements and itineraries when required.
  • Working closely with the Personal Assistant to Finance to assist with the preparation and distribution of reports and presentations to ensure all reporting deadlines are met.
  • Arrange purchase orders and manage payment of invoices, typing, reconciling monthly expenses and liasing with accounts payable.
  • Manage the office requirements of the team, including onboarding and offboarding of staff resources, ordering IT equipment, stationery.
  • Organise and participate in team activities, conferences, meetings, and events.
  • Assist in organising training including coordinating speakers and catering.
  • Physical filing and record storage management, including archiving, destructions of records
  • Act as a liaison for the team and external stakeholders such as suppliers and vendors with approachable, professional and helpful attitude.
  • Ability to recognise and resolve stakeholder issues.
  • Ability to liaise at various levels both internally and externally.
  • Undertaking ad hoc administration tasks as required.

  • 12 years secretarial and administrative experience is highly desirable
  • Experience using professional judgement
