The opportunity:


We have an opportunity available for an Executive Assistant to support our Chief Financial Officer at AIA, based in Melbourne.

Within this role you will provide efficient and effective administrative and office support whilst managing and building effective relationships across the organisation.

This role will require you to think on your feet, and operate with the highest level of integrity, respect and confidentiality.


To do this successfully you will:

  • Provide comprehensive diary management support such as scheduling appointments and meetings (internal and external)
  • End to end management of meetings including preparation of documentation, presentation packs, agendas and taking minutes as required
  • Preparation of daily schedule with supporting materials
  • Proactively anticipate needs and ensure the CFO has all the required documentation as required
  • Travel and accommodation bookings in line with the AIA Policy
  • Facilitate general invoicing and expense management
  • Provide key support to the CFO in the delivery of business objectives (for example, recognition, engagement, learning and development initiatives)
  • Perform other responsibilities and duties periodically assigned by supervisor in order to meet reasonable operational and/or other requirements
  • Proven experience in a similar Executive Assistant position within Insurance/Financial Services
  • Strong written and verbal communication and interpersonal skills
  • High level of attention to detail and organisational capability
  • Excellent computer skills particularly with Outlook, PowerPoint and Excel
  • Previous experience working in a fastpaced environment
  • The ability to maintain confidentiality and use appropriate judgment and discretion
