About the Role
We are seeking an experienced secretariat officer to fill the role of Secretariat Officer for our client. The Secretariat Officer is responsible for the day-to-day administration of the Board at a small agency. This includes coordinating meetings, preparing workplans, agendas and minutes for the Agency Board and its committees.
The Board secretariat is a significant function in the Agency.
Working in a dynamic environment, this role regularly requires fast-paced strategic responses, often working directly with board members and the executive.
The Secretariat Officer will routinely liaise with Board members and use the Board software Diligent.Informed by their skills and experience, the Secretariat Officer will have the opportunity to provide advice and assistance to senior managers, using sound judgement and expertise, including producing papers for their consideration.

The duties of this position include:
- Working largely autonomously to provide end-to-end secretariat support for the Agency Board and its committees ensuring meetings are effectively coordinated, with agendas, papers and minutes delivered on time and to a high-quality standard.
- Building, maintaining and utilizing good working relationships with internal staff and senior executives, Board members and external stakeholders, using influence to deliver high quality outcomes.
- Having a confident yet flexible approach to delivering and coordinating secretariat functions including scheduling and sequencing of meetings, coordination of programmed Board and committee activities (e.g., reviews and appointments) and monitoring of a shared mailbox.
- Coordinating and distributing information between the Agency and the Food Regulation Secretariat at the Australian Department of Health.
- Supporting the Governance and Secretariat Manager, contributing to the delivery of governance functions, including internal and external audits, risk management and performance reporting.
- Managing and/or undertaking projects of a specialized nature including the preparation of reports, submissions, and complex correspondence.
