What You Will Be Doing
All medical secretaries will provide support to some of the medical departments.

Providing effective, efficient and high level Secretarial support to Heads Of Departments of Intensive Care Unit, Anaesthetics, General Medicine, Hand Surgery, Cardiology, General Surgery, Orthopaedics, Obstetrics & Gynaecology, Paediatrics, Ambulatory Care, Geriatrics, Geriatrics Flying Squad and Emergency.

The position requires a highly organized self-motivated individual who is capable of managing a diverse range of administrative duties including effective diary management, efficient and accurate typing of correspondence, coordinate and provide support for meetings including agendas, minutes & follow up, room bookings, catering as required, preparation of materials (PowerPoint etc) distributing of papers and other tasks to enable the Departments to achieve their objectives in a timely, reliable and efficient manner.


Provide support to the heads of departments to facilitate the effective management of the administrative functions within the Cardiology, General Surgery, Orthopaedics, Hand Surgery, ICU, O&G, Paediatrics, Ambulatory Care, Geriatrics, GFS, ED and General Medicine departments.

Medical secretaries will assist in the data entry of claims in VMoney for VMOs, process Health Roster for Staff Specialists, Manage daily tasks for Senior Medical Officers payroll and following up discrepancies, arrange travel and accommodation for local and overseas TESL conferences/seminars for Staff Specialists including organizing conference reimbursements and follow up and other administrative tasks as required by the Medical Services Operations Manager.

How to Apply

  • Demonstrated hospital/health sector experience and understanding of the NSW Hospital Medical Workforce structure.
  • Demonstrated experience in rostering and employmentrelated processes.
  • Demonstrated high level interpersonal, written and verbal skills with experience in responding to a range of enquiries in a complex work environment.
  • Demonstrated ability to effectively and efficiently manage administrative/secretarial duties independently within required timeframe.
  • Demonstrated excellent computer skills including the use of Microsoft Office products such as Access, Excel and Word.
  • Demonstrated experience in using relevant databases/systems like HealthRoster, VMoney and Staff link.
  • Demonstrated proficiency in secretariat duties for committees including taking minutes, preparing agendas and associated papers.
  • Demonstrated knowledge of Training, Education, Study Leave (TESL) for senior medical staff in relation to arranging travel and accommodation
