An opportunity for one (1) x Project Administrator to be part of our Health and Wellbeing Hub located in Docklands.

The Health and Wellbeing Hub is the single most significant investment in the health, safety, and wellbeing of Victoria Police employees to prevent and respond to work related injuries.

Six multi-disciplinary teams are being established, based in hubs across the state, with a focus on enhancing employee's mental health, injury prevention, early intervention, and recovery support.

The Project Administrator will play a key role in supporting the implementation of the Health & Wellbeing Hub and will participate in a range of confidential project activities and contribute to the ongoing monitoring of project outcomes & methodology.

Reporting to the Senior Project Manager, the incumbent will be responsible for providing high level administrative and secretariat support for the team.

We are seeking applicants who can demonstrate a varied skill set with an ability to work in a dynamic environment and who have strong interpersonal and communication skills.

Your duties will include:


  • Coordinate and participate in a range of project activities and contribute to the ongoing monitoring of project outcomes.
  • Provide secretariat support in meetings and working groups including minute taking, followup action items, and recording key decisions.
  • Prepare and provide periodical and adhoc reports from the available set of data (excel and system based) with relevant stakeholders.
  • Effectively manage and maintain office systems and identify the need for and creating new systems.
  • Efficiently manage the records of the project office.
  • Liaise with internal management, employees and external stakeholders.
  • Supporting the project team in the development and implementation of the Multi-Disciplinary Teams.
  • Manage assigned projects, including monitoring work against timelines, and reporting of statuses.
  • Assist in the development, implementation and maintenance of information systems and registers.
  • Provide support to enhance return to work outcomes through early claim interventions and ongoing claim reviews.
  • Support the development of best practice initiatives in return to work to improve positive outcomes.

As the successful applicant, you will have:

  • Advanced MS office and computing skills, specifically in the use of Excel, Power point and Power Bi.
  • Experience in providing administrative and project support with demonstrated initiative, problem solving and proactive work practices.
  • Strong interpersonal skills to effectively engage with key stakeholders and work well within a team environment.
  • Welldeveloped written and oral communication skills.
  • Demonstrated ability to work flexibly in a team environment and to contribute to change and business improvement programs.
