About the role


Monash Surgical Private Hospital are looking for an experienced administrator who is enthusiastic, friendly and approachable with a positive 'can-do attitude to join their friendly, hardworking, and supportive team as Patient Services Officer.

This is a fast-paced environment and role where no two days will be the same.

You will not only be managing various administrative tasks but also be customer facing and greeting patients on arrival, hence your ability to put patients at ease and provide a high standard of care as well as multi-task and shift your focus quickly, will be critical to your success.


The role is permanent part-time working a rotation of 5 days per fortnight and 6 days per fortnight including one Saturday per month.

A requirement of this role is your ability to work a rotating roster (between the hours of 6.45am to 5pm from Monday to Friday and 6.45am to 4pm on Saturday) as well as covering colleagues shifts when they are on leave.


Key responsibilities

  • Contact patients the day before admission regarding theatre times, hospital costs and admission checklist;
  • Prepare patient histories for theatre lists;
  • Finalise theatre lists and liaise with the doctors' rooms as required;
  • Complete health fund eligibility checks and contact the funds as required;
  • Comply with COVID19 policy and procedures relating to patient preadmission screening and COVID testing, patient screening on the day of admission and PPE requirements;
  • Greet patients upon arrival and admit patients for their procedure ensuring paperwork is completed accurately and applicable payments are processed;
  • Ensure accurate and timely data entry into the patient management system (Medical Wizard);
  • Complete patient discharge information on the system and generate invoices and claim forms;
  • Reception duties including answering the telephone and attending to any queries that are directed to patient services.

About You

  • Previous experience working in a highly administrative or similar role within a hospital or day surgery would be an advantage;
  • A strong knowledge of health fund arrangements highly desirable;
  • Strong customer focus to the patients, their families, staff and doctors;
  • Excellent communication skills and outstanding telephone manner;
  • Advanced prioritising, organisational and time management skills;
  • Strong administrative skills and proficiency in MS Office as well as an ability to learn new systems and packages;
  • High level of accuracy and attention to detail to identify errors immediately;
  • Ability to work autonomously and be a great team player.
