About the role

Our niche recruitment agency is seeking an experienced and highly organised Executive Assistant to provide support to our Managing Director.

This is a fast paced, and busy professional services and sales environment with lots of people interactions. The role is very diverse in tasks and requires excellent organisational and communications skills.-
Key tasks and responsibilities:
  • Manage the Managing Director's calendar, appointments, and meetings, including scheduling and rescheduling as necessary.
  • Have full responsibility for Maintaining the current record keeping and database system, and looking for ways to improve current systems.
  • Support the end of month process with HR, management, compliance, and reporting.
  • Assist in the preparation of tenders, reports, and other documents as needed.
  • Drafting, preparation and formatting of documents and correspondence.
  • Compile weekly and monthly reports
  • Meeting minute taking and follow up tasks.
  • Conduct research on various topics as directed by the Managing Director and provide summaries and recommendations as necessary.
  • Organise and coordinate travel arrangements
  • Collaborate with other team members to ensure the smooth running of the office.
  • Occasional travel may be required

Key Criteria

  • At least 5+ years of experience as an Executive Assistant or in a similar role, preferably in a recruitment or sales environment.
  • Excellent organisational skills and attention to detail, with the ability to manage multiple tasks and priorities simultaneously.
  • Strong verbal and written communication skills, with a professional and polished demeanour.
  • Proficient in Microsoft Office suite, with the ability to learn new software and tools quickly we are passionate about technology and continuously improve our tools with efficiency and workflows in mind. This will be a key part of your role.
  • A proactive approach to problemsolving and decisionmaking, with the ability to work independently and take initiative.

Desirable but not necessary:

  • Knowledge of the recruitment industry and the ability to understand industryspecific terminology and concepts
  • Previous exposure to HR systems and processes
