About Our Client:

Our client, a leading automotive manufacturer are seeking to recruit an Team Assistant to join their team.

This is an exciting role which will be an initial 3 month contract with view to progress into a permanent position.

This role offers hybrid work arrangements (2 days available to work from home), with their head office based in Mulgrave, Melbourne.


The Team Assistant will be responsible for providing complete secretarial and administrative support to the Executive Office and the Head of Finance.

This role entails managing correspondence, screening calls, and organising diaries. Additionally, this individual will support various administrative duties across the business.


Key Responsibilities:


  • Manage executive calendars, scheduling meetings and travel arrangements.
  • Prepare and organise documents, presentations, and reports for executive meetings and presentations.
  • Act as a liaison between executives, internal teams, and external stakeholders, facilitating communication and coordination.
  • Coordinate and organise company events and conferences.
  • Organise corporate functions and training programs.
  • Conduct research and compile data as needed to support executive decisionmaking processes.
  • Assist with special projects and initiatives as assigned by executives.
  • Update policies and load onto the intranet
  • Raise purchase orders and invoice allocation
  • Assist with finance administration: Petty cash management & reconciliation, update baking details, staff vehicle purchases and bank letters.
  • Assist with administration of the business: processing payments, maintenance of company website
  • Assist with the administration for the organisation and efficient running of the office.

The Successful Applicant:


Requirements:


  • Proven experience as a team assistant or similar role, preferably in a corporate environment.
  • Exceptional organisational and time management skills, with the ability to prioritise tasks effectively.
  • Strong attention to detail and accuracy in all work.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with individuals at all levels.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
