About the role


Fleetwood Urban are looking to engage with a dynamic, driven, and experienced Contract Administrator to join our high performing team.


Whilst the preference is for this role to be based in Geelong VIC, there is opportunity for flexible work with regular time spent in our Geelong office.


This role provides a key link between the pre-construction and delivery teams within the business, providing estimates for all opportunities where a proposal is required, securing material supply, and contractor engagement once a project is won.

The role requires a proactive and strategically minded team player who is not afraid to get their hands dirty.


Responsibilities:

Responsible to ensure supplier master data is current Jonas Premier
Responsible for assessing and maintaining approved supplier schedule
Responsible for planning and executing assigned supplier remediation activities
Responsible for timely, accurate and commercially sound placement of purchase orders
Ensures data feedback loops from the procurement process are used to inform the estimating process
Responsible for allocation of Purchase Orders to be created and / or adjusted
Accountable for co-ordinating supply of outsourced fabrication
Submit handover manuals at completion of projects
Accountable for the accurate and commercially-sound costing of all inputs for proposals
Responsible to maintain relevant cost base data in the costing spreadsheet used for estimating of opportunities
Responsible for the creation of the project control in Jonas Premier, to enable management of project costs against the budget
Accountable for maintaining transparent work plans and ensuring delivery of internal services are completed within agreed timeframes through facilitation of project, procurement and handover meetings
Responsible for use of approved document control structures and methods and maintains documentation in an up-to-date state
Accountable for quality of work carried out individually by establishing preventative measures in response to relevant non-conformances (or business improvements) raised in the IMS system
Contributes to execution of scheduled supplier assessment audits
Contributes to strategic forward planning to protect supply chain
Contributes to category/supplier risk assessments are undertaken
Contributes to supplier governance and approach to methods of remediation of quality issues
Setting up and control of facility maintenance requirements (eg plant and equipment)
Provide assistance to resolve disputes
Be reliable and flexible where and when required


Skills and Experiences:

About You

Degree in Project Management (Construction) or currently studying or equivalent qualification, or suitable work experience in the industry
Knowledge of relevant codes, regulations, policies and procedures
Displays the values of reliability, consistency, transparency and honesty
Superior knowledge of MS Excel
Building and construction industry knowledge
Demonstrated close experience in the use of current enterprise / business systems
Commercial acumen and the ability to understand how a business needs to succeed commercially
Can demonstrate how accountability for self and others contributes to successful execution
Understands the importance of attention to detail in error reduction
Ability to read and understand various drawing types; architectural, civil, landscape, fabrication drawings
Takes the lead where the solution of problems require high levels of initiative
Strong analytical and mathematical skills; ability to calculate labour, plant, material, and time requirements for a project
Effective time management and prioritisation skills; ability to multi-task and meet strict deadlines
