Description:
Purpose

Business Administration duties to support the Operations manager and Career Advisors successfully manage their projects and outcomes. Supporting the day-to-day operations of the Skills Checkpoint for Older Workers program.


Some of the responsibilities include:


Provide a range of administrative and support services, including records management, routine correspondence, meeting, and event coordination, to support the effective operation of the team/unit.


Collect and compile information for and prepare documentation and correspondence in line with quality and organisational requirements, to support information flow and inform decision making Complete routine financial transactions and purchasing services, ensuring compliance with agency standards and procedures.

Respond to enquiries, and escalate and redirect issues as required, to ensure the provision of accurate information.

Update and maintain records and databases, complying with administrative systems and processes, to ensure that all information is accurate, stored correctly and accessible

To ensure that all visitors are greeted in a friendly and hospitable manner.

SCOW updates to operations manager weekly.


Skills and Experiences:
Personal Attributes

Analytical and critical thinker and can share insights via an engaging communication style.

Strong people skills, ability to work with mature aged clients respectfully and empathetically.


Proven ability to build and maintain effective working relationships and teamwork with managers, peers, member organisations, government bodies and other external parties.


To be respected as a role model for and mentor to others regarding to maintain a work culture of integrity and high professional standards.

Strong personal standards in maintaining confidentiality of sensitive information.

Required Experience

Intermediate skills using Word and Excel.

Ability to multi-task and quickly prioritise your work.

The confidence to manage up and remain resilient and positive during busy periods.

Exceptional organisational skills and you enjoy working in a fast-paced environment.

Ability to think outside the box and approach your work proactively.

Strong experience in requirements gathering and reporting.

Solid documentation, configuration, and process mapping skills.

A current driver's license.

Desirable Experience

Experience within a member-based and/or community service organisation.

Demonstrated experience in managing highly effective and high performing teams.

Demonstrated experience in the career advisory/development industry.

Desirable Qualifications

Certificate III Business Administration or equivalent.
