The Office Manager will be expected to manage themselves with all aspects of administrative process at a site level with support from an overarching central management team.

In general, the responsibilities will be to carry out the efficient running of the operational and financial, quality health and safety and administrative systems and associated function at site level.

This is a key appointment within the contract structure and will require the individual to be a strong leader.

The individual will need to demonstrate experience of leadership, management, development of a site on a defined contract, ensuring financial, QSHE and operational commitments are met and exceeded.

Here's a snapshot of your day:

  • Ensuring business policies and processes are effectively communicated and implemented at site level and appropriate control systems to ensure statutory, policy and contractual commitments are met.
  • Ensure the provision of healthy and safe working conditions and that both the Client's and CBRE health and safety policy and process is effectively implemented including keeping logbooks compliance and hazard reporting and being the main point of contact for emergency incident management out of hours.
  • Responsible for the recruitment of site staff and that effective succession planning arrangements are in place.
  • Collaborate with other operational managers to ensure the development of the business, teams and projects
  • Work with the Client to support the 'return to site' planning and the continued development and improvement of the workspace through new initiatives and innovations to help facilitate new, more flexible ways of working.
  • Development of site financial plans for revenue and profit delivery, reduction of WIP, debt, cost reduction and contract growth, and ensure that these are met as well as complete weekly BU Financial Report and Monthly Site Review reports in a timely manner.
  • Manage holiday, sickness, maintaining the correct and required staff level within the building plus maintaining site people records such as new starters, leavers, and any changes in client's staff
  • Identify needs/assist in arranging training for all team members either on or off site, ensure timely completion and attend and participate in any relevant training courses
  • Management and site control of all Helpdesk calls/tickets and the day to day running and tracking of all reactive tasks.
  • Prioritising and delegating reactive and planned preventative maintenance tasks to the maintenance team and supply chain partners including permit to work system training and management.
  • To manage the delivery of site services including post, reception, switchboard, freeissue, stationary and general office services plus manage the process of meeting room management in line with client requirement including resetting, planning, bookings, cleaning, maintenance and organising resourcing around events.

Skills and experience you'll need to thrive in this role:

  • A minimum of 5 years of front desk, concierge, customer service or other hospitality experience is preferred.
  • Warm, engaging demeanor and positive attitude. Ability to assess circumstances, empathize and offer help.
  • Utilize a high level of attention to detail as well as strong interpersonal skills
  • Strong stakeholder management motivating and lead the team to be more successful
