Due to an ongoing commitment to on-board new business, we are currently looking for
a Document Controller to join our Social Infrastructure & Citizen Services.

Based at our Brisbane Offices, or other major locations across Australia or New Zealand as agreed, the successful applicant will maintain an efficient document control system that guarantees the precision, accessibility, and adherence of company documents.


This role involves organizing and overseeing documents, fostering productive teamwork across departments, aiding in quality assurance initiatives, and upholding regulatory conformance.

Through the upkeep of a well-structured and managed document management system, the Document Controller will play a vital role in facilitating smooth communication, timely decision-making, and streamlined operations across the organization.


What you'll do


In this role, you will actively contribute to risk management, support customer feedback management, and provide essential reporting on compliance and performance.

You'll establish and nurture collaborative relationships with peers, management, and customers while demonstrating leadership through your own actions. Your proactive approach to continuous improvement and staying updated on document control practices will be key to your success.


Key responsibilities outlined below:

  • Drive a culture of quality through Downer's Quality Principles, supporting communication and governance of assurance and compliance expectations.
  • Implement plans for the adoption of the Technical Document System (TDS) and contribute to its continuous improvement.
  • Manage and maintain Business Unit (BU) documents in TDS, ensuring accuracy, completeness, and compliance.
  • Coordinate document compliance, records compliance, and document control processes, enforcing procedures and standards.
  • Collaborate with crossfunctional teams to collect, organize, and distribute necessary documentation, facilitating effective communication and review processes.

What you'll bring

  • Experience in a documentation/record control role
  • Proficiency in MS Excel, Word, PowerPoint, Outlook, Adobe Acrobat reader/writer
  • Proven capability working with Sharepoint and willingness to learn new software apps
  • Understanding of document management systems, electronic document control tools, and related software
  • Meticulous attention to detail and commitment to maintaining accuracy and consistency.
  • Excellent communication and interpersonal skills for effective collaboration with crossfunctional teams
  • You must have the agility to gain and maintain a minimum Baseline security clearance as required by the Commonwealth.
Desirable but not essential

  • Background working in or around Quality Assurance is highly regarded
  • Knowledge of data protection and confidentiality regulations (desirable)
