Be challenged and imagine with us:

As the Executive Support Officer, you will provide proactive, high level executive support and administrative assistance, exercising initiative, discretion, sound judgement and confidentiality to support the Executive Director of Advancement.


In this role you will:

  • Provide high level support to the Executive Director in a proactive, timely and efficient manner, enabling them to effectively focus on their key responsibilities
  • Draft, edit and prepare written correspondence to internal and external stakeholders, proactively assist in the development of papers and presentations on behalf of the Executive Director and provide project support to the Executive Director including planning, scheduling and reporting
  • This continuing position is full time and will be located at the Callaghan Campus (Awabakal and Worimi land)._

The Office of Alumni and Philanthropy (OAP) sits within the Global Engagement and Partnerships Division and leads the implementation of the University of Newcastle's Advancement Strategy.

The practice of Advancement (alumni and philanthropic engagement) plays a key role in the delivery of Looking Ahead, the University of Newcastle Strategic Plan , and achieving its goals.

The OAP is comprised of 4 teams, being Alumni Programs, Community Fundraising and Donor Relations, Philanthropy and Advancement Operations.


What we offer:

The remuneration for this position is from $71, % superannuation and is commensurate with skills and experience.

  • Extensive demonstrated experience providing professional/secretarial support to a senior leader, at a Director level or higher and/or relevant education/training.
  • High level written and verbal communication skills, with significant experience in drafting correspondence, preparing reports and developing presentations for internal and external audiences.
  • Sound problem solving ability, including a demonstrated ability to manage and resolve issues in a prompt, efficient and professional manner.
  • Demonstrated high level computer skills including Microsoft PowerPoint, Excel, and Word, as well as demonstrated organisational and time management skills and outstanding attention to detail in a busy, complex and rapidly changing professional environment.
  • Commitment to continuous improvement and ability to work flexibly, independently and as an effective team member whilst maintaining high levels of sensitivity and confidentiality at all times.
