The Property and Security section sits within the broader Programs and Place Branch and is expected to work cooperatively across all Branches and teams, including front of house, exhibitions and learning, collection management, digitisation and digital, with an emphasis on ensuring a safe site for visitors and staff and actively contributing to project and program delivery.

The team support the NFSA's mission by providing staff with a safe and productive work environment by managing the Agency's property strategy, accommodation and facilities as well as the provision and development of protective security services.


Based at the NFSA's headquarters in Acton, ACT, the Capital Works Project Officer will support the Capital Works Project Manager and the Property & Security Team in the delivery and management of property capital works and operational projects across a portfolio of nine distinct locations in Canberra, Sydney and Melbourne.


This is an excellent opportunity to practically contribute to the NFSA's property strategy including refurbishment works, accommodation planning and small to medium scale construction and asset replacement projects.

Under the direction of the Capital Works Project Manager the Capital Works Project Officer will actively manage key stakeholder relationships and expectations to deliver results that best support the NFSA.

As key member of the Property & Security Team they will support the delivery of complex property projects and exercise strong stakeholder management skills.


They will:

  • Provide project management support to the Capital Works Project Manager and general project management of minor projects.
  • Monitor projects against schedules and budgets
  • Provide contract administration including the capture of variations and claims
  • Engage in complex problem solving, issue management and project delivery
  • Identify opportunities for continuous improvement
Working independently within a small Property & Security team, the key duties of the position include but are not limited to the following:

  • Develop and sustain relationships with key internal and external stakeholders from the start of each project through to commissioning
  • Support the development of project documentation using the NFSA's project management methodology, including developing project plans, schedules, risk registers, communication plans and budgets
  • Liaise closely with contractors during capital works projects. Act as a key point of contact to manage access and undertake site checks to evaluate status of work programs, monitor progress and engage in activities to achieve program delivery
  • Liaise with NFSA staff, contractors, landlords and external agencies on property and security related matters including implementation of the Heritage Management Plan and delivery of heritage impact assessments
  • Provide input into property and security related strategic planning
  • Proactively managing contracts and processing contract variations
  • Provide procurement support in the preparation of RFQs and tenders that comply with Australian Government procurement framework
  • Manage budgets and processing payments
  • Ensure safe working environments are maintained in accordance with legislative requirements, Australian Standards and WHS policies and procedures

The NFSA is seeking a highly motivated, energetic and experienced Capital Works Project Officer.

The successful applicant requires experience in capital works project delivery and the capacity to develop a good rapport with both internal and external stakeholders.
