About the role


This position is responsible for the front line service to staff, members, customers, patients and visitors to HCF House, located in Sydney CBD.

Additionally, the role is responsible for the visual appearance and operational efficiency of both the Ground and Mezzanine levels of HCF House as well as the End of Trip Facilities.


Key responsibilities

  • Provide a highly professional Reception function for visitors and staff attending the building and the Business Centre
  • Register visitors individually as well as provide a premeeting group registration service for larger groups
  • Organise courier deliveries to and from HCF House while maintaining a detailed log of jobs booked
  • Receive deliveries at Reception, notify staff and keep a detailed log
  • Daily monitoring of the meeting rooms and the break out areas schedule, as well as assistance with the use of the rooms and audio visual equipment. Experience in the use of technology, especially Video Conferencing equipment, is encouraged.
  • Management of the Meeting Room booking system to provide assistance and alternate solutions to staff inquiries on meeting room bookings
  • Conduct regular walkthrough of the HCF House meeting rooms, check the technological equipment and report issues for maintenance
  • Ensure Clean Desk policy is being implemented and risk of compromise minimised
  • Work closely with Security, Facilities and Executive Assistants to ensure the highest level of service
  • Support the Workplace Manager in operational efficiency of HCF House as well as ad hoc projects and administrative tasks
  • Follow Workplace Management Standard Operating Procedures

About you
To be successful in this role, you will demonstrate the following qualifications, experience and skills:

  • Prior experience in delivering exceptional service in a front-line service environment
  • Professional appearance and immaculate dress to suit a corporate environment
  • Drive, passion and commitment to delivering a positive experience with all interactions
  • Ability to maintain calm under pressure or with changing situations
  • Strong working knowledge of MS Office programs
  • Word, Excel, PowerPoint and Outlook
  • Familiarity with the use of Video Conferencing equipment
  • Strong organisational and time management skills
  • Courteous manner, orientated to assisting others
  • Ability to be articulate and effective in all communications verbal or written
