About the Department of Medical Education, Melbourne Medical School
The Department of Medical Education was established as a department within the Melbourne Medical School in 2015.

It has responsibility for the delivery of the Doctor of Medicine (MD) course, research in medical education and a range of professional development postgraduate and non-award programs.


As the first Australian professional entry masters level program, the Melbourne MD creates a new benchmark in 21st century medical education.

It delivers advanced clinical and academic training to ensure students are prepared for the challenges of a high-quality medical internship.

The MD is a 4-year program with an intake of approximately 350 students per year. The degree is delivered through our Parkville campus, metropolitan and rural Clinical Schools, partner organisations.


About the Role


This position is broad in scope and requires a high degree of initiative and self-management to deal with the range of functions and tasks involved.

The incumbent will be responsible for ongoing reviews, benchmarking and improvements of administrative processes and communication strategies, in consultation with the clinical sites.

As a coordinator in the Academic Programs Team, the incumbent will be required to provide leadership within the network. They will need to possess well-developed organisational, time management and problem-solving skills. They will be required to use initiative and be responsive to the needs of the School.


Responsibilities include:

  • Support the development of administrative processes by reviewing existing policies, guidelines and procedures and recommending changes to the Academic Programs Team Leader; drafting and implementing new policies and procedures where required. Develop and prepare accurate and appropriate documentation and reports
  • Ensure the delivery of a client focussed service that considers stakeholder needs in all processes in accordance with organisational expectations
  • Maintain and enhance own professional knowledge and technical skills by keeping uptodate with new developments in the area of student and program administration.

About You

You will have extensive experience in an administrative role that required coordination of a range of complex functions and provision of advice about policies and procedures.

Your excellent interpersonal, written and verbal communication skills includes the ability to provide advice and support to a range of stakeholders at all levels, and the production of high-quality documents and publications.


You will also have:

  • A degree with subsequent relevant experience; or extensive experience and specialist expertise in student and course administration; or an equivalent combination of relevant experience and/or education/training
  • High level organisational and problemsolving skills, including the ability to coordinate multiple functions and meet competing deadlines; to work proactively, plan and respond to unexpected situations
  • Knowledge of quality assurance and continuous improvement process
  • A demonstrated commitment to client service principles with the ability to be flexible and to anticipate and respond to client needs
  • Excellent committee secretariat skills
  • To ensure the University continues to provide a safe environment for everyone, this position requires the incumbent to hold a current and valid Working with Children Check._
