About the role:

This position will work as part of a team that provides administrative support to both the AMEP and
SEE program, with a particular focus on the AMEP contract management across five contract
regions. This position is expected to provide high level customer service, while maintaining the
strictest confidence of information regarding the person records of clients, subcontractors, and
other materials.


Duties:


  • Provide highlevel administrative support to the AMEP and SEE contract management team in
matters relating to the operation of contract functions.

  • Collaborate with internal and external subcontractor administration staff to assure consistency of administrative systems across the institute, and across subcontractors.
  • Develop and maintain client and subcontractor databases and information, liaising with the
Department of Home Affairs and subcontractors as required.

  • Plan and prioritise administrative tasks including database establishment and management, word processing, and organisation of meetings and events. Develop and maintain excel spreadsheet.
  • As instructed by the program administrator and service coordinators, assist the department with
internal and external audit preparation.

  • Ensure relevant and current program information is available on the staff and student portals,
including the Melbourne AMEP and Northern SEE websites.


Skills and experience required:


Mandatory:

  • Appropriate formal qualifications and/or extensive experience in administrative support roles
preferably in an educational setting, including basic book-keeping.

  • Demonstrated ability, commitment and attitude to the provision of highlevel customer service to all internal and external clients, preferably in an educational setting.
  • High level computer literacy including Microsoft Office Suite and the internet including: drafting and formatting documents, producing Excel spreadsheets and databases, data entry for government databases, reports and correspondence; production of PowerPoint presentations; mailmerges and mail outs.
  • Demonstrated high standard of administrative and organisational skills including skills in the
implementation and maintenance of administrative and quality systems, including financial.


Desirable:


  • Knowledge of AMEP and SEE programs, with particular knowledge of ARMS database.
  • Speaking AMEP community languages will be well regarded.
