Your new role


The position entails overseeing the recruitment and supervision of external support staff, managing contracts, procuring equipment and software, coordinating captions and alternative formats, maintaining records of purchases and services, and assisting students with disabilities in utilising assistive technologies.

Additionally, the role involves providing administrative support to the broader team of Psychological and Counselling, Accessibility, Multi-faith, and Wellbeing Services (PACS).

The incumbent operates in a confidential setting and collaborates closely with all team members.

Administrative responsibilities encompass personnel management, training, and contributing to the development and maintenance of office systems, as well as relevant policies and procedures to ensure efficient office operations.

They work in tandem with the Head to support the management, reception, and various activities of the Service.


Key duties and responsibilities include:


AccessAbility Services:


  • Coordinate the booking of interpreter services, captioning, and other alternative formatting requirements, along with referrals to external agencies and related administration, while maintaining records of interpreter, captioner, and alternative formatting requests, as well as casual worker hours, pay, experience, and absences.
  • Assist the Curtin Specialist Mentoring Program in organising and renewing mentor contracts.
  • Coordinate the onboarding process, WWC renewals, and contracts for casual support staff, while also managing the timetabling of notetaking/scribe work during the study and examination periods, and overseeing fortnightly timesheets.
  • Prepare submissions, claims and reports for grant monies including funding under the Additional Support for Student with Disability (ASSD) scheme.
  • Liaise with relevant area stakeholder and University functional to ensure specific work is completed as necessary.
  • Purchase equipment and assistive technologies as requested by AccessAbility Advisors.
  • Manage equipment loan and maintenance register requirements.
  • Coordinate with the Progressions, Assessment and Awards team on equipment required for the examination periods.

Other tasks:


  • Supervise and assist main receptionist duties.
  • Manage annual stock take and disposal of items as requested.
  • Support HICAPS billing for Medicare and BUPA, epay portal billing for OSHC insurers and private clients, and assist in PRODA delegation setup and renewal for administrative staff.
  • Provide administrative and logístical support for financial practices, including the processing, recording, and reconciliation of corporate credit cards, staff claims, travel, purchasing, and account payments.
  • Administration of contractual agreements with regional providers.
