Your Role:


To provide administrative support and travel coordination to the Australian based APAC resources to ensure efficient and effective function of their responsible departments.


Key Accountabilities & Responsibilities:


Coordinate and arrange all travel requests for Australian based APAC resources and international staff as directed and ensure travel bookings are compliant with the Chubb Travel & Expenses policy.

Provide support to the Chief Underwriting Office (CUO) team around reporting, with a focus on extraction of data from QlikView, distribution of reports and chasing of outstanding items in those reports.

Administrative assistance with project tracking and coordination


Peer Review support:

Assign peer reviews as part of regional peer review process and assist with updating the COG Peer Review platform (adding new users, amendments to risks selected for peer review).

Provide seamless diary coordination, ensuring meeting rooms are booked for all meetings and appropriate travel time is allocated for external meetings.

Coordinate the organisation of functions, lunches, dinners, conferences, and in-house meetings as needed.
Field enquiries and requests from internal staff and external clients, ensuring prompt escalation of important matters where needed.
Produce high quality presentations and reports where required.
Communicate with external senior executives in a professional and courteous manner, on a regular basis. Develops and fosters internal and external relationships with staff and stakeholders.
Maintains and upholds the strictest level of confidentiality at all times.
Processes and ensures alignment of expenses for the assigned executive leaders.
Manages annual leave approvals for the executive leaders' review.


Qualifications:


Experience and Capabilities:

Three to five years experience providing support for senior management in a corporate environment
Strong interpersonal communication and negotiation skills
Ability to work autonomously, employ initiative to find solutions, proritise and exercise discretion
Technical competence with software packages including Microsoft Word, Excel, Powerpoint and Project
- ability to create reports on a regualr basis (WorkView or QlikView experience an advantage)
Attention to detail, excellent keyboard skills
Proactive and flexible approach to work
Excellent organisational and administrative skills
Ability to liaise at an executive level, work under pressure and multi
- task
Friendly and professional demeanour
