    About You :

    • Victorian Certificate of Education or Certificate in Business Administration or equivalent.

    Position Summary :

    This role is to provide a warm and welcoming first point of contact, ensuring smooth communication and efficient coordination between the clients and financial planners, as well as providing general administration assistance to the team.

    Key Requirements :

    • Strong administrative and organizational skills
    • Excellent communication and people skills
    • Intermediate to advanced knowledge of Microsoft Office suite of products
    • Willingness to learn

    Job Responsibility :

    • Assist with calendar and diary management
    • General reception duties and ensuring clients are welcomed and attended to.
    • Answering and directing incoming phone calls to relevant team members.
    • Managing the company's email inbox and directing inquiries and correspondence to the relevant team members.
    • Handling mail and deliveries, including the distribution of income correspondence and outbound postage.
    • General administration and assistance for team members during client appointments, including scanning and filing of documents.
    • Maintaining a clean professional office environment.
    • Preparing and printing physical files for client appointments.
    • Providing general information and assistance for clients/visitors.
    • General office management including stationary and office supply management, corresponding with landlord and other third parties in the maintenance of the office.
    • Supporting client services managers and other team members in other clerical duties where required, as well as back up for when team members are on leave.
    • Assist in travel and accommodation arrangements, as well as catering for business functions.
