    Democracy Developers is a small non-partisan, Not-For-Profit charity that builds digital tools to enhance democratic participation for all Australians. We are currently building an app, Ask Parliament, to enable people to participate actively in parliamentary processes. See our website for more details.     The role:


    We are seeking a Part-Time Administrative Manager. The successful applicant will be responsible for a range of Not For Profit admin, financial, operational and communication responsibilities, and will work closely with a small team of board members and volunteers.

    A central requirement is to sustain the company's existing robust systems for financial and regulatory compliance, adhering to our established processes. However, ideas for improvement are always welcome Beyond the core tasks, the job could grow into other areas.

    Skills, knowledge and experience


    Essential:

    Financial and regulatory management

    • Experience in the Not-For-Profit sector
    • Ensure financial and regulatory compliance adherence, including ATO quarterly BAS and superannuation submissions, and fortnightly payroll processing via Xero
    • Prepare the Annual Report, ensuring it provides a comprehensive and transparent overview of the company's financial health and progress.
    • Manage invoices, oversee the timely payment of bills, and accurately record all financial transactions, including reconciling transactions.
    • Develop and maintain financial plans, cash flow statements, budget spreadsheets, and periodic financial reports.

    Document and compliance oversight

    • Manage company documents and insurance policies to ensure they are current and that the company consistently meets all regulatory compliance standards.
    • Proactively review and refine company policies, procedures, and risk registers, ensuring they are up-to-date and effective.

    Secretarial duties and governance support

    • Fulfill the role of company secretary, organising board meetings and AGMs, recording minutes, and managing action items.
    • Support the board on governance matters and inform them of changes in relevant legislation.
    • Oversee the company's compliance with obligations to all regulatory bodies, including ACNC requirements and international filings, where applicable.

    Desirable:

    Communications

    • Update and maintain the company's WordPress website.
    • Administer LinkedIn and Facebook pages.
    • Compose and publish short articles that provide updates and news on the company's activities, events, and milestones.
    • Run appropriate social media advertising and communication campaigns.
    • Apply for grants where appropriate.

    Domain knowledge

    • Understand Australian state or commonwealth parliamentary processes.
    • Build connections with MPs, staffers and the political process.
