    About the role... The Office & Facilities Manager role is based in our Torquay head office in a part time capacity hours minimum across a work week). The role has two broad areas of focus, one is working closely with key internal stakeholders and external contractors and vendors to ensure the Torquay support office and warehouses are well maintained, safe, and compliant. And the other, to provide high level, efficient and confidential support to the CEO. It will include all aspects of calendar management, travel organisation, administrative support and broader organisation and administration of the Torquay office. Day to day you will;
  • Coordinate the calendar of the CEO on a day-by-day basis, ensuring no meeting clashes and co-ordination of all CEO chaired meetings
  • Assist with the travel planning of the CEO
  • Timely reconciliation and submission of the CEO's expenses
  • Ownership of Head Office Reception, ensuring it is organised, clean and all guests/calls are adequately greeted/taken
  • Create and maintain RCA Planner and drive early creation of key dates and distributed to all relevant parties
  • Be the Rip Curl ambassador and host for guests of the CEO to the Torquay office
  • Lead on implementing corporate based ESG initiatives as informed by Head of ESG
  • Maintain RCA office in a condition required of a global head office - liaise with cleaners, gardeners, plant provider as required to ensure the office and meeting rooms are well presented at all time
  • Responsible for preventative maintenance
  • Oversee waste management, security, cleaning, gardening, and pest control contractors
  • Be the first point of contact for Torquay staff, visitors, and contractors on facilities and maintenance issues ensuring timely resolution
  • Mail sorted & distributed to pigeonholes each morning; stillages emptied/relevant crew alerted to deliveries each afternoon; outgoing mail sorted ready for pick up each afternoon
  • Support the Health and Safety team to ensure external maintenance contractors are appropriately qualified and sign in/ out of all premises

     You will demonstrate exceptional administrative and organisational skills with a high attention to detail and pride in your work. You demonstrate sound time management skills and the ability to successfully multitask and manage competing priorities (including competing internal customers).You show a determination to close out and resolve matters quickly and efficiently in a professional and customer orientated manner. This role requires you to demonstrate your ability to understand the importance of confidentiality at all times. EA experience such as diary management, travel bookings etc will be highly regarded.
